The Secure Media Vault
Associates Program is designed around delivering SMVA clients the utmost in
security for their vital media assets. In order to become an associate your
entire Media Vaulting Platform must comply with certain criteria to be able to
achieve a Secure Media Vault Certification Designation.
Due to recent legislation, the
Board of Directors, the CEO and CFO are personally liable for loss of data.
Whether that loss is from willful destruction, spoliation, espionage or
catastrophic destruction, the C-Level Officers and Board are personally liable.
These officers as well as the Audit Committee bear personal liability and as
such demand certain levels of performance from their Media Vaulting Partners.
The Audit Committees have
defined certain levels of security, and in order to satisfy these requirements,
our membership provides enhanced security far beyond that available from
traditional offsite storage vendors.
The key criterion around this
Certification is the ability to secure the media in a manner that ensures the
survival of the media. This entails developing a rigid specification with a
proven track record of limiting loss. This specification has been in place over
21 years and no major losses have occurred, yet this specification is under
constant management to review for new strategies of attack by criminals,
terrorists, cyber thieves and hackers as well as risk associated with shoddy
performance by client’s staff as well as the employees of the offsite media
vaulting facility. The defined specification always stands ready to react to
new threat as they evolve in the industry.

A review of this
specification in detail will reveal that it addresses several key areas of
weakness that have caused major losses of data of the last decade. This
specification has been very successful for the SMVA and its client base of high
security electronic storage clientele in preventing loss.
KEY AREAS OF
SECURITY
1) Proper handling and Environmental control with
client reporting software to make them aware via electronic reporting over the
Internet that their media is in the proper environment at all times.
2) A Class 125 Media Rated Vault Chamber with magnetic
shielding to protect the media from catastrophic fire or magnetic fields that
can damage the media
3) Proof their media is secure from intrusion, theft
or arson via a defined access control perimeter, building alarms and CCTV
Surveillance.
4) Proof that the tracking software can identify the
location of the media at all moments in the delivery and pick up sequence and
this sequence is married to a GPS system that assures the courier van is not
making unscheduled stops that would allow for sabotage or theft.
5) That the vehicles have the type of locking
mechanisms that ensures that the media is safe in the van during routine stops.
6) That employees handling the media have bonding
capability and background checks due to the high incidence of Identity Theft
crimes that are occurring and the temptation that these high values create,
researching the employee is key to a secure platform.
7) That the procedures for handling media have been
identified for normal operation as well as synced with the Disaster Recovery
Plans for the client.
8) That the facility meets the requirements of the
NFPA 232 Protection of Records Standard which is the guideline that records
centers must follow to meet code and satisfy a client and association audit.
